ABC Online Chozen Academy is committed to ensuring all learners and stakeholders have access to a fair, equitable and transparent appeals process. This policy outlines the procedures to follow when appealing a decision made by the Academy in relation to assessment outcomes, reasonable adjustments, special considerations, allegations of malpractice/maladministration, or other monitoring processes.

Grounds for Appeal
Learners or other stakeholders may submit an appeal on the following grounds:

  1. The Academy did not apply procedures consistently or procedures were not followed properly and fairly
  2. The judgment made was unreasonable given the evidence provided
  3. New evidence or circumstances have come to light after the original decision
  4. The learner was denied reasonable adjustments which may have impacted the outcome

Appeals Procedure

  1. Notification of intent to appeal must be made in writing to the Academy within 14 days of the disputed decision being made. Appeals can be submitted via email to appeals@chozenacdemy.com.
  2. The appeal submission must outline the grounds for appeal from the list above and include all supporting evidence/documentation.
  3. The Academy will acknowledge receipt of the appeal within 5 working days.
  4. The appeal will be reviewed by an independent Appeals Panel, separate from those involved in the original decision. The Panel will consist of at least three members with no previous involvement or vested interest in the case.
  5. The Appeals Panel may request further evidence or documentation from the appellant or Academy staff as needed.
  6. The appellant will be given the opportunity to have a hearing before the Panel to present their case. This can be conducted virtually if needed.
  7. The Panel will strive to make a final decision within 30 days of the appeal submission. This timeframe may need to be extended for particularly complex cases.
  8. The appellant will be notified of the Panel’s decision in writing, including reasoning for the decision, within 5 working days of it being made.
  9. If the appeal is upheld, the Academy will take action to rectify the issue, such as amending assessment results or reconsidering previous judgements.
  10. If the appeal is denied, the appellant will be provided information on any further options for challenging the decision through applicable regulatory bodies.
  11. All documentation and evidence relating to an appeal will be securely retained by the Academy for a period of 5 years.

ABC Online Chozen Academy Complaints Policy

ABC Online Chozen Academy is committed to providing high-quality education and exceptional student experiences. This policy establishes a formal procedure for receiving, investigating, and responding to complaints to ensure they are handled fairly, consistently, and with the goal of satisfactory resolution.

Grounds for Complaint Individuals may submit a formal complaint to the Academy regarding:

  • Other grievances related to the Academy’s provisions of education

Complaints Procedure

  1. Complaints must be submitted in writing to complaints@chozenacdemy.com. Complaints should outline the nature of the issue, any relevant details/evidence, and the remedy being sought.
  2. The Academy will acknowledge receipt of the complaint within 3 business days.
  3. Complaints will be reviewed by the Complaints Officer, an independent party not involved in the issue. If the complaint is regarding the Complaints Officer, it will be reviewed by a designated alternative staff member.
  4. The Complaints Officer may request further information or documentation from the complainant and any staff/contractors relevant to the complaint.
  5. For complaints regarding courses/instructors, input will be sought from the respective instructor/department.
  6. The Complaints Officer will strive to investigate and respond with a decision within 14 business days of the initial complaint submission. This may be extended for complex cases.
  7. The complainant will receive a written response detailing:
    • Summary of the complaint
    • Details of the investigation process
    • The Officer’s decision and reasoning
    • Any corrective actions to be taken by the Academy
    • If applicable, information on appealing the decision
  8. Corrective actions will be implemented promptly and the complainant will receive updates.
  9. If the complainant is dissatisfied with the outcome, they may appeal the decision following the Academy’s Appeals Policy and procedures.
  10. Complaints will be stored confidentially for 5 years from the date of resolution.

The Academy will be proactive in analyzing complaints data to identify improvement areas and emerging issues. This Complaints Policy will be reviewed annually.

ABC Online Chozen Academy Course Content Review Policy

ABC Online Chozen Academy is committed to providing learners with educational experiences of the highest quality and integrity. This policy establishes protocols for the regular review and update of all course content to ensure it meets rigorous standards for accuracy, relevance, and effectiveness.

Course content at Chozen Academy encompasses all instructional materials including lessons, lectures, assessments, multimedia components, and supplemental resources across all delivery methods and curricular areas.

Ongoing Content Monitoring All course content undergoes initial review by Subject Matter Experts and instructional design professionals prior to delivery to verify accuracy, alignment with learning objectives, and overall quality.

Once a course is launched, the respective instructor(s) and an assigned Content Reviewer continuously monitor the materials over the duration of the course. This includes:

  • Reviewing any student feedback or reported issues regarding content clarity or accuracy
  • Identifying emerging topics or skills to incorporate based on industry developments
  • Assessing content performance data like quiz scores, engagement metrics, etc.
  • Ensuring all materials remain compliant with regulatory or accreditation standards

Based on their observations, instructors can recommend content updates to the Content Review Board.

Annual Comprehensive Review Annually, the Content Review Board conducts a comprehensive evaluation of each course and its materials. This involves:

  • Reviewing all components for currentness of information, modern best practices, and latest research
  • Analyzing content performance data like student evaluations, learning outcomes, etc.
  • Identifying any accessibility, diversity, or inclusivity issues that need addressing
  • Ensuring accuracy of any software versions, coding examples, data sources, etc.
  • Soliciting feedback from external Subject Matter Experts and industry advisors

Any substantial updates will be summarized in a Course Content Update Report detailing the Review Board’s findings and outlining revisions to be implemented.

All updated content drafts go through a final technical and instructional review prior to release. Once verified, new course versions launch at the start of the next scheduled term.

Record of Review Activities To ensure transparency, Chozen Academy maintains detailed records of all content review activities for a minimum of 5 years, including:

  • Notes and recommendations from instructors and Content Reviewers
  • Minutes and decisions from Content Review Board meetings
  • External SME and stakeholder feedback
  • Course Content Update Reports for each updated version
  • Technical review checklists and approvals

Definition of Malpractice Malpractice refers to any deliberate activity, neglect, default or other practice that compromises, or could potentially compromise:

  • The integrity of Chozen Academy’s assessments and certification processes
  • The validity of results, certificates, or certification credentials issued
  • The reputation, credibility or interests of Chozen Academy
  • The confidence of the public in the qualifications offered by Chozen Academy

Examples of malpractice include, but are not limited to:

  • Cheating of any kind during exams or assessments
  • Collusion in providing or gaining an unfair advantage
  • Impersonating others or allowing impersonation
  • Plagiarism or passing off work as one’s own
  • Fabrication or misrepresentation of data/information
  • Tampering with assessment materials or resources
  • Instigating or assisting others in acts of malpractice

Malpractice Reporting All stakeholders must report any identified or suspected cases of malpractice in assessments. Written allegations with supporting evidence should be submitted to malpractice@chozenacdemy.com.

Anonymous reports are permitted, though providing contact information is recommended to allow follow-up queries.

Investigation Procedures

  1. Chozen Academy will acknowledge receipt of malpractice allegations within 5 working days.
  2. An independent Investigation Officer is assigned to promptly review the report and evidence.
  3. The Investigation Officer has authority to collect further statements, conduct interviews with concerned parties, inspect premises, and uncover relevant information.
  4. Investigations aim to be completed within 30 working days of receipt of the allegation.
  5. If malpractice is substantiated, the Investigation Officer submits a recommendation report detailing appropriate penalties/actions.
  6. The final investigation outcome and any disciplinary actions are communicated in writing to relevant parties within 10 working days of conclusion.

Disciplinary Measures For substantiated cases of malpractice involving students, disciplinary measures may include:

  • Warning and mandatory training on academic integrity
  • Disqualification of assessment results and assignment re-submissions
  • Temporary or permanent ban from Chozen Academy programs/certifications

For malpractice by Chozen Academy staff or contractors, measures may include disciplinary action up to termination of contract/employment.

Appeals against penalties for malpractice can be submitted following Chozen Academy’s defined Appeals Process.
